Administrative Assistant for the Hair Care Win Today Organization.

Administrative Assistant Role

Responsible for the day-to-day work systems and tasks to support managers of the business. Should be well-versed in technical office tools, software applications, calendar management, and coordinating travel and business meetings. Supports the business by proactively managing projects and enabling managing team members to do their jobs most effectively.

The purpose of this role is to provide administrative support for the R&D NA Franchises, MPD, and On-menu, supporting 8-10 managers. Administrative support responsibilities include, but are not limited to, providing calendar management, meeting coordination, arranging travel & expense reports, manage email distribution lists, assisting overseas visitors, manage contractors. Support for all large group meeting setup and logistics. Ensure interns/co-ops/new hires have successful employee moments of truth, including ordering & setting up, ordering laptops & supplies, organizing welcome carts, onboarding schedules, and final reviews. Keep break room & office supplies stocked, maintain seating chart for our organization.

Additional Responsibilities

  • R&D Approver for the artwork approval process across North America portfolio of brands.

  • Purchasing of small quantity product and office supplies, budget tracking, and PO management using internal systems to ensure company stewardship.

  • Participation and leadership in culture team events.

Skills:

  • Ideal candidate is interested in administrative support role with servant leadership mindset.

  • Strong Collaboration & interpersonal skills: The applicant's success and that of the department requires building effective working relationships and collaboration for calendar management, meeting coordination, travel planning, and budget tracking.

  • Effective written and verbal communication skills: Clear communication with managers and colleagues is critical in establishing clarity of expectations and delivering with excellence.

  • Aptitude for technology with growth mindset: Applicant must have proficiency with the standard MS Office Toolkit and willingness to learn P&G applications (WebEx, Coupa, SAP, etc.) with an interest in growing personal skills and the skills of others with current and future productivity tools (e.g. file sharing, SharePoint).

  • Agile & Proactive: Effective support will require the ability to flow to the work to support manager and other admins in department when needed, while also proactively identifying outlook conflicts and acting with urgency to navigate them to resolution.

  • Prior experience as an administrator in a traditional administrative capacity is strongly preferred.
