Description

Comunilife's Life is Precious program is expanding it services to Poughkeepsie and Yonkers and is looking for an experience Administrative Assistant to support our team.

The Administrative Assistant is responsible for the office administrative functions program including maintaining and filing all client file documents, work orders for program sites, updating the program directory, answering telephones, and typing memorandums. The Administrative Assistant adheres to the office protocols including, procurement, and petty cash policies; orders program and office supplies, prepares and maintains related program Office reports/records. In the absence of the Assistant Vice President, the Administrative Assistant reports to the Program Coordinators. is expanding to Yonkers and Poughkeepsie. This position is eligible to participate in our generous benefits and paid time off package. The pay rate for this position is from $17.00 to $17.30 per hour based on 40hrs a week or $36,000 a year.

Essential functions:

  • Screen all incoming calls and respond to routine inquiries.

  • Prepare minutes of meetings, notices, special reports, correspondence, and packaging ofresource material as required, for various program activities.

  • Adhere to all policies including procurement, and petty cash custodian.

  • Establish and maintain organized filing systems that record all contracts, program files,correspondence, documents, and reports.

  • Assist in material preparation and logistics for program meetings.

  • Update and maintain various on-site program files and mailing lists. Maintain clientdocuments in an organized manner.

  • Review, sort, distribute and respond to daily incoming mail for the Assistant Vice Presidentand all staff.

  • Prepare transmittal office supplies and purchases. Follows Comunilife procurement and pettycash procedures.

  • Maintain and track program work order activities.

  • Prepare the purchase orders for program and office supplies, as needed and client needs asdirected by the Assistant Vice President.

  • Operate a computer to enter, retrieve, review, or modify data; utilizing word processing,database, and software programs.

  • Performs other duties as assigned.

Qualifications

Qualifications:

Minimum Associates degree or High School Diploma with at least 4 years of experience and strong computer skills; Familiarity with Microsoft Word, Excel,and other commonly used software required. Experience working in programs with youth clients ispreferred.
